These Terms and Conditions govern your use of the services provided by Paragon Sports Coaching Ltd ("we," "us," or "our") and your participation in our sessions. By booking, paying for, or attending any session, you ("the Client / Parent / Guardian") agree to comply with these terms to ensure a safe, enjoyable, and professional experience for all participants.

2. General Booking, Payment & Fees

  • Booking Process: Bookings are submitted directly via our website, online registration forms, phone, or email.

  • Payment Methods: Payments are processed securely online via Stripe using debit card, credit card, or digital wallet (e.g., Apple Pay / Google Pay). Bank transfers remain available upon agreement, but cash is strictly accepted under special circumstances arranged in advance.

  • Payment Security: Paragon Sports Coaching Ltd does not store or process full card numbers directly. All financial transactions are managed securely by Stripe under strict PCI-DSS encryption and compliance standards.

  • Advance Payment: We operate on an upfront booking basis. All individual sessions, block packages, holiday camps, or subscriptions must be paid in full prior to the first session to secure your child’s place.

  • Failed Payments & Processing Fees: In the event of a failed card payment or subscription dispute, we reserve the right to pause coaching services until the balance is resolved. Any chargeback fees or administrative costs incurred from failed payments or disputed charges will be passed on to the account holder.

  • Price Adjustments: Paragon Sports Coaching Ltd reserves the right to review and adjust coaching fees. Any price changes will be communicated in advance and will not affect payments already completed for ongoing blocks or bookings.

3. General Cancellation & Refund Policy

  • Refund Processing Fees: Where a refund is approved under our service-specific policies, refunds will be issued back to the original payment method via Stripe. Please note that refunds may be subject to a deduction of non-refundable payment processing fees incurred during the transaction.

  • Uncontrollable Events (Force Majeure): We do not offer refunds, account credits, or make-up sessions for cancellations caused by events outside our reasonable control (including extreme weather, venue/facility emergency closures, epidemics, or government restrictions), as venue hire and staffing costs are already committed and paid for regardless of attendance.

  • Completed Sessions: No refunds, credits, or fee adjustments are issued once a session has taken place.

  • Missed Sessions: Refunds or credits will not be issued for missed individual sessions due to personal holidays, illness, or general non-attendance.

4. Service-Specific Terms

A. In-School & After-School Clubs

  • Block Bookings & Non-Refundable Policy: Block payments secure your child’s dedicated place for the term and are strictly non-refundable once paid, regardless of attendance, as venue space and coaching staff are booked in advance.

  • Mid-Block Cancellations: If you choose to withdraw or cancel your booking mid-block, your child retains full access to attend all remaining paid sessions within that block. No partial refunds or credits will be issued for unattended weeks.

  • School Handover: Children attending after-school clubs will be handed over directly from school staff to our coaching team at the end of the school day.

  • Prompt Collection: Children must be collected promptly at the published session end time. Repeated late collections may incur a charge to cover extra staffing costs or lead to removal from the club without a refund.

  • School Closures: If a school cancels a session due to polling days, INSET days, or emergency facility closures, we will attempt to reschedule the session or provide an account credit.

B. Holiday Clubs & Camps

  • Cancellations 7+ Days Notice: Cancellations made 7 days or more prior to the camp start date are eligible for a 100% full credit or refund (minus applicable payment processing fees).

  • Cancellations Under 7 Days Notice: Cancellations made within 7 days of the camp start date are non-refundable due to finalised venue allocations and staffing commitments.

  • Friendly Place Transfers: If you must cancel within 7 days, you are welcome to transfer the booking to a friend or sibling for those same dates at no extra cost—simply notify us of the attendee name change via email prior to the start of the day.

C. Private 1-on-1 & Small Group Coaching

  • 24-Hour Notice Required: Free rescheduling or full cancellation is available up to 24 hours prior to the scheduled session time. Requests must be made in writing via email or message.

  • Late Cancellations & No-Shows: Cancellations made with less than 24 hours' notice, or failure to attend, will be charged at 100% of the session fee.

  • Friendly Place Transfers: If you cannot make your scheduled 1-on-1 slot at short notice, you are welcome to send a friend or sibling in your child's place for that exact time slot so your booking does not go to waste.

  • Punctuality: Sessions start and finish precisely at the scheduled time. Late arrivals will result in a shortened session with no extension of time.

D. PYFC Grassroots & Evening Squads

  • Subscriptions: PYFC Grassroots fees are billed via recurring online subscriptions covering pitch hire, league registrations, referee fees, and coaching.

  • 30-Day Cancellation Notice: To cancel a PYFC squad membership subscription, parents must provide 30 days' written notice via email to info@paragonfootballcoaching.co.uk. Fees due during this notice period remain payable.

  • Squad Ethos & Selection: PYFC operates on a player development model focusing on structured coaching, equal playing time, and position rotation. Matchday selections and tactical choices remain at the strict discretion of the coaching team.

  • Kit: Official PYFC match kit must be worn for all league fixtures. Replacement kit items must be purchased separately.

5. Participation, Health & Safety

  • Medical Disclosures: Parents/guardians must disclose all relevant medical conditions, allergies, disabilities, injuries, or SEN support needs during registration. It is your responsibility to keep this information up to date. Failure to provide accurate medical info may affect our ability to accommodate the participant safely.

  • Special Requirements: While we strive to create an inclusive environment and work closely with parents, we are unable to provide 1-to-1 dedicated support staff during standard group sessions.

  • First Aid & Injury Logging: At least one coach per venue holds a valid First Aid qualification. In the event of an injury, details will be logged on our official Medical Incident Form. Parents/guardians will be notified at the end of the session, and a copy of the report is available upon request.

  • Inherent Risks & Assumption: Participation in sports involves inherent physical risks. By enrolling, parents/guardians acknowledge these risks and confirm their child is physically fit to participate.

  • Required Equipment & Kit: Participants must attend with weather-appropriate clothing (layers for cold, sun protection for heat), shin pads (essential), a labelled water bottle, and suitable footwear (football boots or astro trainers as required by the venue).

6. Safeguarding & Child Pick-Up Protocol

  • Staff Vetting: All staff undergo enhanced DBS background checks, child protection screening, and regular safeguarding training.

  • Pick-Up Protocol: Children will only be released to the designated parent/guardian specified during registration. If an alternative person is collecting your child, you must inform us in advance.

  • Walking Home: For older children permitted to walk home alone, our legal responsibility and care end immediately once the participant departs the session boundaries.

  • Emergency Interventions: If staff believe a child is in immediate danger, we reserve the right to contact emergency services (999) or relevant local child protection authorities.

7. Behaviour & Zero Tolerance Policy

  • Expectations: We enforce a strict zero-tolerance approach towards discrimination, bullying, verbal abuse, physical aggression, or persistent disruption.

  • Removal: A child may be immediately suspended or permanently removed from our programmes for behaviour deemed harmful or offensive towards coaches, participants, parents, or venue staff.

  • No Refund Policy: If a participant is excluded due to behavioural breaches, no refund or credit will be issued for remaining sessions.

8. Media & Marketing

  • Photos & Video: We occasionally capture photography and video during sessions for operational, staff training, and marketing purposes.

  • Consent & Opt-Out: Consent is required for the public display of your child’s image. You may opt out of media capture at any time by emailing info@paragonfootballcoaching.co.uk. Opt-out requests apply immediately upon receipt and affect all future promotional releases.

9. Data Protection (GDPR) & Payment Privacy

  • Data Handling: Personal information collected during booking (contact numbers, medical notes, emergency contacts) is processed in strict accordance with UK GDPR laws solely for session administration, safety, and legal compliance. We never sell or transfer your data to external third parties.

  • Third-Party Payment Processors: Transaction data required to process online payments is shared safely with our payment gateway provider, Stripe, strictly for authorisation, processing, and fraud prevention. You can view Stripe’s privacy policy at stripe.com.

10. Force Majeure

Paragon Sports Coaching Ltd is not liable for service disruptions, venue closures, or cancellations caused by events outside our reasonable control—including severe natural weather events, facility emergencies, flooding, epidemics, or sudden government restrictions.

11. Feedback & Dispute Resolution

  • Immediate Resolution: If you have a concern or complaint, please bring it to the attention of the head coach on-site at the end of the session.

  • Formal Complaints: Alternatively, email us directly at info@paragonfootballcoaching.co.uk or call 07455 691658. We aim to acknowledge and work towards a good-faith resolution for all formal complaints within 2 working days.

12. Changes to Terms

Paragon Sports Coaching Ltd reserves the right to modify these Terms and Conditions at any time. Updated revisions take effect immediately upon posting to our website. Continuous participation in our sessions constitutes full acceptance of the revised terms.
