Introduction
These Terms and Conditions govern your use of the services provided by Paragon Sports Coaching Ltd and your participation in our football coaching sessions. By booking or attending any session, you agree to comply with these terms, which are designed to ensure a safe, enjoyable and professional experience for all participants.

Booking and Payment
Booking Process: Clients can book sessions directly with us via phone, email or through our online form.
Payment Methods: Payments must be made via bank transfer. Cash payments are accepted only under special circumstances and must be agreed upon in advance.
Advance Payment: We operate on a block-session basis, and all sessions within a block must be paid for in advance.
Cancellation and Refund Policy
Payment Deadlines: Failure to meet payment deadlines may result in your space being made available to others. Repeated missed payments may lead to suspension or termination of coaching services until outstanding payments are settled.
Client Cancellations: If you cancel during a block of sessions, no refund will be provided for the unused portion. However, you are entitled to attend the remaining sessions in that block.
Session Cancellations: If we cancel a session due to circumstances such as adverse weather or coach illness, we will make every effort to reschedule.
Late Cancellations/No-Shows: Refunds will not be issued for late cancellations or missed sessions.
Discounts and Promotions
Discounts and promotional offers are subject to specific terms and conditions. Unless explicitly stated, discounts cannot be combined with other offers.
Price Adjustments: Paragon Sports Coaching Ltd reserves the right to review and adjust coaching fees. Any changes will be communicated in advance and will not affect payments already made for ongoing sessions. Clients will be informed of the cost of services before booking.
Client Responsibility: Clients are responsible for ensuring payments are made on time and through the designated methods. Any transaction fees incurred during payment are the client’s responsibility.
Agreement Acceptance: By engaging in our coaching services, clients agree to abide by these payment terms and conditions. It is the client’s responsibility to provide accurate and up-to-date contact information to facilitate proper invoicing and communication.
Dispute Resolution: Any disputes regarding payments or services will be addressed through good-faith negotiations and mediation to reach a fair resolution.
Participation Requirements
Age Restrictions: We offer coaching sessions for participants of all ages, as outlined on our Services page. It is the client’s responsibility to provide accurate age information when booking.
Parental/Guardian Consent: For minors, participation in our sessions requires the consent of a parent or legal guardian.
Medical Information: Parents/guardians must disclose any relevant medical conditions, allergies, or injuries prior to participation. It is the parent/guardian’s responsibility to ensure the child is fit and healthy enough to participate in physical activities.
Failure to Provide Medical Information: Failure to provide accurate medical information may affect our ability to accommodate the participant safely.
Equipment and Clothing: Participants must bring appropriate equipment for the session, including:
Football/sports kit
Football boots or astro trainers (as required by the venue)
Shin pads
A water bottle
Weather-Appropriate Clothing: Please ensure your child wears suitable clothing based on the weather conditions (e.g., layers for colder weather or sun protection in hot weather). This can be discussed further with your coach if needed.
Responsibilities of Participants
Behaviour Expectations: At Paragon Sports Coaching Ltd, we prioritise the safety and well-being of all children attending our sessions. To ensure a positive and productive environment, all our coaches adhere to a strict behaviour policy.
Zero Tolerance Policy: We have a zero-tolerance approach to discrimination, bullying and persistent poor behaviour.
Addressing Concerns: We reserve the right to raise concerns with parents/guardians to discuss the suitability of sessions and potential future participation.
Removal for Behavioural Reasons: A child may be immediately removed from sessions for any behaviour deemed aggressive, offensive, or insulting toward staff, children, parents, or spectators. This includes, but is not limited to, verbal or physical aggression.
Refund Policy: No refunds will be issued if a child is removed due to behavioural reasons. Any costs associated with exclusion are the responsibility of the parent/guardian.
Parental Support: We request that all parents/guardians encourage and support their children during sessions and respect the rules set by our coaches.
Attendance: Participants are expected to arrive on time for sessions. Late arrivals disrupt the group and may result in reduced participation. Missed sessions, whether due to lateness or absence, will not be refunded unless the session is cancelled by us.
Parental Supervision (If Required): For younger participants or at the coach’s discretion, parents/guardians may be required to remain on-site during sessions. Any such requirement will be communicated in advance.
Special Requirements
We recognise that every child has unique needs, and we strive to create an inclusive environment.
Notification of Needs: Parents/guardians must inform us of any disabilities, medical conditions, or specific needs prior to sessions.
Accommodation: While we will make every effort to accommodate children with additional needs, we are unable to provide 1-to-1 support during group sessions.
Collaboration: We will work closely with parents/guardians to seek practical solutions and ensure all children can participate and enjoy our activities.
Case-by-Case Approach: Each child’s needs are unique and we address them individually to provide the best possible experience.
Health and Safety
We are committed to maintaining the highest standards of safety during all coaching sessions.
First Aid and Emergencies: At least one coach is a designated first aider and will follow emergency procedures when necessary. Parents or guardians are required to provide accurate and up-to-date emergency contact details.
Safeguarding: We take our safeguarding responsibilities seriously and adhere to all relevant policies and regulations for working with children.
Inherent Risks: While every effort is made to ensure safety, participation in physical activities carries some inherent risks. By enrolling, parents/guardians acknowledge and accept these risks.
Disclosure of Risks: Parents/guardians must disclose any risks associated with their child’s participation in our coaching sessions. This includes any medical conditions, allergies, or concerns that may affect the child’s ability to safely engage in physical activities.
Assumption of Risk: By booking and attending our sessions, parents/guardians acknowledge the inherent risks associated with physical activity and agree to take responsibility for the well-being of their child.
Coach-to-Child Ratio: The ratio of coaches to children will depend on the type of session and the age group. We will ensure that an adequate number of coaches are available for each session. However, this may be subject to change due to coach availability or unforeseen circumstances such as illness.
Session Availability
We strive to accommodate all participants, but due to high demand, some sessions may reach maximum capacity. If a session is full, we encourage you to join our waiting list.
Waiting List: We regularly review and assess availability and we will make every effort to accommodate individuals on the waiting list as soon as spots become available.
Expanding Services: We are committed to meeting the growing interest in our programmes and continuously explore opportunities to expand our services to accommodate more participants.
Injury
In the event of an injury during a session, the details will be logged using our medical form. We will keep a copy on file, and a copy can be provided to you upon request.
Parental Notification: Parents/guardians will be notified of any injuries at the end of the session.
Media and Marketing
Recording During Sessions: We may take photos or videos during coaching sessions for purposes such as marketing, training or promotional materials.
Consent: By attending our sessions, you grant us permission to use such media. However, we require written consent for the use of your child’s image. If you do not wish for your child’s photo or video to be used, please inform us in writing prior to the session.
Opting Out: If you choose not to have your child featured in media, you can opt out at any time by contacting us at info@paragonfootballcoaching.co.uk. Any media already created will not be used after your opt-out request is received.
Privacy and Data Protection

Data Usage: We only collect and use personal data for the purpose of managing coaching sessions and ensuring legal compliance.
Confidentiality: We are committed to protecting the personal information you provide and will not share it with third parties unless required by law or necessary for the provision of services.
By participating in our sessions, you consent to the collection and use of your data as outlined in our Privacy Policy.
Force Majeure
Paragon Sports Coaching Ltd is not liable for any cancellations, disruptions, or delays caused by events beyond our control. These events may include, but are not limited to, extreme weather conditions, natural disasters, pandemics, or other unforeseeable circumstances (e.g. coach illness).
In such cases, we will make reasonable efforts to reschedule sessions or provide alternative arrangements, but we are not responsible for any losses or inconveniences caused by these events.
Safeguarding
At Paragon Sports Coaching Ltd, we are committed to providing a safe and secure environment for all participants, particularly children and vulnerable individuals. The welfare, safety and protection of our participants are our top priorities.
Background Checks and Training: All staff and coaches undergo thorough background checks and screening procedures before joining our coaching team. They receive regular training on safeguarding protocols, child protection policies and appropriate behaviour when working with minors.
Code of Conduct: We maintain a strict code of conduct that outlines expected behaviors and interactions between coaches, participants and parents/guardians. This code emphasises respect, appropriate boundaries and prohibits any form of abusive or inappropriate behaviour.
Child Pickup Protocol: Coaches ensure that children leave the session only with the designated parent or guardian as indicated during registration. If someone else will be picking up your child, please notify us in advance. For children walking home, please note that our responsibility ends once they have left the session.
Emergency Procedures: If we believe a child is in immediate danger, we will take appropriate action, including contacting emergency services (999).
Staff Training: All staff members hold valid DBS checks and are trained in safeguarding practices. Additionally, at least one staff member present at each session is certified in first aid.

Feedback and Complaints
We take all feedback and complaints seriously and strive to work closely with you to resolve any issues with our sessions.
Raising a Complaint: If you wish to raise a complaint, please first bring it to the attention of a staff member at the end of the session. We will respond to you within 2 working days to address and resolve the issue.

Changes to Terms and Conditions
Paragon Sports Coaching Ltd reserves the right to update or modify these Terms and Conditions at any time. Any changes will be communicated to clients and the updated terms will be effective immediately upon posting on our website. By continuing to participate in our sessions, you agree to be bound by the revised Terms and Conditions.
